On The Day Wedding Coordination: Worth the Investment?

Your Questions Answered

If you've been searching "do I need an on the day coordinator?" or "what does an on the day coordinator actually do?" you're not alone. It's one of the most misunderstood services in the wedding industry and one of the most valuable, especially for destination weddings. Below I break down what a coordinator means to you and your Mallorca wedding.

What does day-of coordination include?

On the day coordination is a service where a planner steps in during the final weeks before your wedding to manage logistics, confirm supplier details, build your timeline and run the actual event so you and your family can enjoy your big day.

Despite the name, it's rarely just "the day of", most coordinators start working with you 4-6 weeks before the wedding.

How is day-of coordination different from full wedding planning?

Full planning means a planner is involved from the very beginning, helping you find and book vendors, build your budget, choose your venue and make design decisions over many months.

On the day coordination assumes you've already done the planning yourself, then I come in one month before to pull everything together, confirm every detail with your suppliers and execute the day so nothing falls through the cracks.

Destination weddings add a layer of challenge as communication can be a little more tricky, finding someone who knows Mallorca and can bridge the gap between you and your suppliers at the final stretch can take a lot of stress off your shoulders and make sure you enjoy your time in Mallorca with your family & friends.

You build the wedding, I make sure it runs exactly the way you pictured it.

What does a day-of coordinator actually do?

A typical day-of coordination package includes:

- A consultation call at the beginning and again 1 month before the wedding

- Reviewing and finalising your timeline

- Confirming arrival times and details with every supplier

- Managing setup, supplier arrivals and the timeline on the wedding day

- Being your main point of contact so you & your partner don't have to answer questions

- Troubleshooting anything that comes up; weather, timing shifts, missing items. With 15 years of experience so you don`t have anything to worry about.

Does day-of coordination only start one month before the wedding?

With most planners, yes but I work a little differently. The moment you book, whether that's a year out or a few months out, we schedule a consultation call built around a planning spreadsheet that has developed from 15 years of coordinating weddings from London to Ibiza.

You fill out the spreadsheet with where you're at in your planning and we go through it together on the call to make sure nothing's been missed, you have a complete list of the suppliers you still need to book, and you know exactly what to ask each one, what to look for and what red flags to watch for.

From there, you keep building out that same spreadsheet as your planning progresses & during your planning visits to Mallorca. So when we officially step back in one month before the wedding, you're not starting from scratch and neither are we everything is already organized and handover is seamless.

So what do I actually get with Day of Coordination for your wedding in Mallorca?

More than the name suggests. You get:

1. A kickoff consultation as soon as you book, built around our custom planning spreadsheet, so you're set on the right course from day one

2. Ongoing structure for your entire planning timeline — you keep filling out the spreadsheet as you go, so nothing gets forgotten

3. A second consultation call one month before the wedding, when we officially take over

4. A full month of hands-on coordination, timeline management, and vendor communication leading up to the day

5. On-site coordination for the wedding day itself

In short you get the structure and expertise of a planner from the beginning and the hands-on execution of a coordinator at the end without paying for full planning.

Do I still need to do anything myself?

Yes, you (or whoever is helping you plan) are still responsible for booking suppliers, choosing your venue and making the big decisions. Day of coordination isn't a replacement for that work, it's what makes sure that work actually pays off on the day itself.

When should I book a day-of coordinator?

In line with most suppliers in Mallorca weddings, most couples book somewhere between 12–6 months before the wedding, booking earlier is never a problem it just guarantees your date is held.

How much does day-of coordination cost?

Full pricing is listed on the website or in the Weddings brochure so you can see exactly what's included before reaching out.

What if something goes wrong on the wedding day?

This is exactly what a day of coordinator is for. Whether it's a supplier running late, a timeline change or a last-minute detail nobody planned for, we handle it so you never have to.

Is day-of coordination really worth it?

If you've put months into planning your wedding, day-of coordination is what protects that investment. And because our version includes a kickoff consultation and planning spreadsheet from the start, you're not just protecting your investment at the end — you're planning smarter from the beginning, with 15 years of experience guiding you the whole way.

It's the difference between hoping everything goes according to plan and having someone whose job it is, from the moment you book through the final send-off, to make sure it does.

How do I know if I need day-of coordination or partial planning instead?

If you've already booked most of your vendors and just need someone to execute the day, day of coordination is likely the right fit. If you still need help finding suppliers, building a budget, or making design decisions, partial planning may serve you better.

A quick note on the name

"On the day coordination" is the term most couples search for, but as you can see, what I actually offer starts the day you book, not the day of your wedding. Some clients have started calling it "full-journey coordination" instead, since that's really what it is: my experience and structure from the beginning and hands-on execution at the end.
